Recovering Data
Multiple options exist for recovering lost data. If none of these options are available to you,
read the next section "Starting Over."
Option 1 – Restore from a previous backup
If you perform regular data backups, simply locate the backup file and follow instructions in
Help for restoring data from a backup file. If you have lost your software as well, you must
reinstall the software first. (Be sure to update your software to the latest version!)
Option 2 – Verify what data is salvageable / Restore from a system backup
If your computer crashes or is otherwise damaged (and you do not perform regular software
backups), the first step is to find out what can be saved. Many IT departments perform regular
backups, which may be invisible to the end user. Check with your IT department to determine if
a recent backup of your computer is available. If it is, it is very likely your Trustfile data
is included.
Whether you are examining a backup or a damaged hard drive, you must first locate your Trustfile
application data. By default, Trustfile applications store their data in
C:\Program Files\Trustfile\[application name]. Try to retrieve this folder from your computer
or an IT backup and save it to a new media (i.e., a server, CD, diskette, etc.). Once you have
this folder saved, follow these steps to restore your data:
- Install your Trustfile software to a computer. (Replacement installation CDs and/or
software download instructions are available by contacting Trustfile Sales at (877) 222-0187.
Replacement CDs may be sent at no charge via USPS. If possible, please locate your Customer
ID before calling.)
- Update your software to the latest version. For help with updating, refer to the program’s Help.
- During installation, a new (empty) data folder is created at C:\Program Files\Trustfile\
[application name]. Locate this folder.
- Replace this new folder with the folder you saved from the backup or damaged computer.
This process will restore your original data to the new installation.
- Run the application and verify that your data is restored.
If this option does not restore your data, or if you receive an error, your original data may
be corrupt. Refer to the other recovery options for further assistance.
Option 3 – Restore data from printed copies of filings
If you printed copies of your returns, you can use them as a reference to manually re-enter your
return data. First, install the software and set up your companies. Then enter your data.
SPECIAL NOTE FOR INTERNET FILERS: Proof of Previous Transmissions
Customers who file via the internet and who have lost proof of previous transmissions can
obtain copies of transmission data from Trustfile. Trustfile archives filing data each
month to ensure that you are protected in the event that there is confusion about your
filing (date/time transmitted, payment amount, etc.). This is similar to the software’s
Transmission Status (or History) Report. Please note: These are not actual returns,
but rather your tax data in the DOR-required format. The information simply verifies that
you filed; it cannot be used to repopulate software with lost data.
To obtain copies of transmission data, email
support@trustfile.com and include the following
information about the filing(s):
- Trustfile Serial Number or Customer ID (required for security purposes)
- Company Name
- Tax Type and State (i.e., Florida sales tax)
- Tax ID (state specific account number; i.e., Florida certificate number)
- Filing period(s) needed (include year and month)
You can receive reports as text files via email, or printed copies via fax or U.S. mail.
